Control how many emails members receive from the Lounge (Instant notifications, Instant Posts only, Daily Group Highlights, Community Highlights, or No Email).
A manager can control the email frequency and amount of emails that go out to the group members.
Each member can update their own preferences (here) later under their own account settings. If a member changes their own email preferences, they override the default group settings for themselves only.
Finally, a manager can have special permission to override more limited email settings like Community Highlights or No Email and push an email announcement to the group members.
Group Email Frequency options
When do members get emails about Posts in the Lounge? There are five options to choose from as group defaults:
- Instant notifications Posts & Replies
- Instant Posts
- Daily Group Highlights
- Community Highlights
- No Email
Members can override the group default and choose their own settings. Here's how each of the 4 options works:
1. Instant notifications (Posts & Comments)
Everyone will get notified by email once a Post or reply (Comment) is created. Members will receive real-time activity notifications from the group. It is a regular email to click reply-all or reply, just like a regular email thread. In the Email Settings, make sure to toggle on both “every new post as it is created“ and “every new comment as it is created“ so they are enabled (toggled to the right).
Members can always opt out of a particular Post thread and all of its replies by clicking Unfollow Post in the footer of any email.
Please note that Instant notifications (Posts & Comments) are only available on paid plans. On the pricing page, this is referred to as the Mailing List feature
2. Instant (Posts only)
Managers have an option to reduce the number of emails sent by muting email notifications for Comments. To do that, toggle off the option “every new comment as it is created” in the Email Settings tab under By default, email group members. Reply-all Comments will still be visible on the platform. However, only members who opt into the post by participating with a Comment will get email notifications of reply-all Comments on that Post.
Remember, if managers DO want their members to get reply-all Comments in their email inbox, toggle on the “every new comment as it is created” option. Toggling on this option for reply-all Comments to go out via email is available on paid plans only.
3. Daily Group Highlights
Everyone will get a Daily Group Highlight email with previews of Posts and Comments created from a specific group. This is the toggle “a digest of the new posts from each day”. For more information about Daily Group Highlights, please look at this help article.
*Note: Check with your Community Manager to see if Daily Community Highlights are enabled to avoid sending members double emails.
4. Community Highlights
All members can get a Community Highlight email with previews of Posts and Comments from their entire community created daily, weekly, or both. The manager selects the day this is sent. For more information about Community Highlights, please click this help article.
5. No Email
Email notifications for Posts and Comments will be disabled completely (when toggled to the right). Members can see notifications in the mobile app or if they log into the platform in a web browser.
Manager Posting Capabilities
As a manager, there are two super capabilities they can choose from when posting in the group.
- Post Only - This means managers Post in the Lounge feed, which could be Instantly, Daily Highlights, Community Highlights, or No email.
- Announcement - This means a manager’s Post is sent by email instantly to all members. Here's how it looks:
