Configuring User Agreements on Group Registration Forms
Group managers in Forj Connect can configure Group Registration forms to present users with context-specific user agreements before joining a Group. This is useful when access to a Group requires acknowledgment of legal or policy documents such as:
- Terms of Service (ToS) / Terms and Conditions (T&C) — rules governing use of the service or group
- Privacy Policies — describing how member data is collected and used
- End-User License Agreements (EULAs) — common for groups centered around software or digital resources
- Acceptable Use Policies (AUPs) — defining what members may and may not do within the group

Adding a User Agreement Link to the Registration Description
The Registration page Description field allows you to provide context to prospective members before they complete the registration form. You can use this field to describe the nature of a required user agreement and provide a direct link to the agreement document.
Steps
- Navigate to your Group and open the Registration settings page.
- Locate the Description field on the Registration page.
- Enter descriptive text explaining the nature of the user agreement. Be specific — tell users what they are agreeing to (e.g., "This group requires acceptance of our Data Sharing Policy").
- Insert a hyperlink to the agreement document within the Description field. The link should be clearly labeled (e.g., "View our Data Sharing Policy").
- Save your changes.
Note: Links in the Description field open in a new browser tab. Users will need to navigate back to the Group Registration form after reviewing the linked agreement content. Consider noting this in your Description text, for example: "(opens in a new tab — please return to this form after reviewing)."

Adding a Consent Checkbox (Optional)
If your Group requires members to explicitly confirm they have reviewed the linked agreement(s), you can add a custom checkbox field to your Registration form. This provides a clear, auditable indication of consent and can be made required to prevent registration without acknowledgment.

Configuring the Checkbox Field
- Open your Group's Registration form editor.
- Add a new custom field and select Checkbox as the field type.
- Set the Field Name to a clear consent statement referencing the specific agreement. For example:
I agree to the terms described in the Member Terms and Conditions - Optionally, populate the checkbox's Description field to provide additional context — for example, directing users to where in the Registration Description they can find the agreement link.
- If acknowledgment is mandatory for Group membership, mark the field as Required. This will prevent users from submitting the Registration form without checking the box.
- Save your changes.
Note: The checkbox Field Name is displayed as a label next to the checkbox on the registration form. Keep the language clear and specific so users understand exactly what they are consenting to.
Tips & Best Practices
- Use specific agreement names in both the Description text and the checkbox Field Name (e.g., "Data Sharing Policy" rather than just "user agreement") to reduce ambiguity.
- If your Group has multiple required agreements (e.g., a Terms of Service and a separate Privacy Policy), consider adding a separate checkbox for each to capture distinct consent to each document.
- Remind users in the Description that linked documents open in a new tab and they should return to the form to complete registration.
- Review your agreement links periodically to ensure they remain active and point to the most current versions of your documents.
